Getting Started with Appointments

So we know what appointments are, 1 on 1 sessions with a trainer or professional. But how to get started using them? Typically, appointments are either booked by the professional or the client.

For the professional, a client might call or email, saying, "I want a private appointment with you for a 60-minute Personal Training session". How would you book that? Easy!

 

BUSINESS GUIDE

Step 1: Go to your dashboard a.k.a. Calendar page. Click on the "Scheduling" button on the left or any spot on the calendar. 

Step 2: Choose "Appointment" then click "Select A Customer" to add a customer from your Customers list. 

Use the pulldowns to select a service for the appointment. Then, select a professional and facility. Finally, select a date and time.

Note: If you want to display all non-conflicting appointment times outside of the professional's appointment availability, make sure that you meet all the prerequisites then turn on the override toggle on the User's profile. Click HERE for a detailed guide.

Step 3: After choosing the time, you'll be sent to the payment screen. Here, depending on if the client has a package purchased, has remaining sessions, or a credit card linked to their account, you can book/charge them directly. In the example below, the client has no balance. 

Purchase drop-in or any package on the list.  

On the payment screen, click NEXT > CONFIRM and CLOSE. If the client has no payment method saved, add one, wait for it to load then click NEXT > CONFIRM and CLOSE.  

 

Once you've processed their payment, or selected to use a session on their membership, you can head back to the Calendar page and see the just booked session on your business calendar page (see below).

 

CLIENT GUIDE

If you want to book a 60 minute, Private Yoga session with your favorite instructor, you have two ways to do this, on the website, or on the app! In the example below, the client will book on the website.

Step 1: From the website, login then click "Book Activity". If you have a favorite gym or instructor, they will show up under "My Businesses'', or search for a new business under "Find a Business".

Step 2: Click on "View Schedule" to view the calendar of the business.

Step 3: Click on "Appointments", and you'll be taken to the "Schedule an Appointment" page. From here, use the pulldowns to select the service you are interested in, and choose a professional. Once you've selected those, choose a date and time you'd like to schedule your appointment for. 

Note: If you don't have any relationships, you can add them on the appointment scheduler or add them via the Select User modal (if you have existing relationships). In the example below, the parent account will book herself.

Step 4: Select a payment type. Your payment options will vary depending on if you have a prepaid membership, sessions left in your membership, have a credit card on file, or are paying for the first time! Choose your payment or purchase options, step through the process and you will have your first appointment booked!

If your business requires you to accept their waiver, similar to the one below, you'll be prompted to accept it. Not accepting their waiver will not confirm your appointment booking. Simply turn on the waiver toggle and/or click the link to accept the waiver, click CONFIRM and CLOSE.

You'll receive a confirmation email and receipt, as well as the class showing up in your Calendar on the website and in the app.
