You can set your professionals as "available" for appointments for times they’re normally unavailable, using the "Excepted time" feature. Excepted time means your professionals are available to be booked for appointments by customers regardless if they have fixed appointment availability work hours or if their schedule is not as consistent.
Prerequisites:
-
The professional is added to your Users list.
-
The professional is a Bookable Resource.
-
The professional is available for appointments.
You can set a specific time as "excepted" with just a few clicks, here’s how.
Step 1 - Log in to your business account and go to your Users list.
Step 2 - Add a user or edit an existing professional.
Step 3 - Make sure that the professional is available for appointments. The toggle should be turned on. In the example below, the professional has no fixed appointment availability work hours.
Step 4 - Head to your calendar and add excepted time blocks.
You can either click the SCHEDULING button or click any spot on your calendar.
On the Create Session page, select “Excepted Time”, fill out the modal then hit ADD TIME EXCEPTION. In the example below, the professional is available for this week, from Tuesday to Friday, from 1:00PM to 5:00PM only.
A confirmation will appear at the top that you’ve successfully added excepted times for your professional. You can either click the clickable date or the Calendar button at the top menu to be redirected to your calendar.
That’s it! You’re done!
What will happen next?
Your clients will be able to book your professional for appointments on their set excepted times. After the excepted times have occurred, the professional will not be available for appointments unless they’ve set fixed appointment availability work hours or added new excepted times.
IMPORTANT:
-
If blocked time and excepted time somehow gets scheduled for a professional at the same time, the blocked time will override the excepted time and the user would need to remove or cancel the blocked time to open up that time for appointment booking.
-
The system automatically "deconflicts" the professional’s booked sessions (classes, appointments and blocked times) with their set availability. This means that if they’re booked into another session, the system will know this and make them unavailable for bookings. Also, Professional profiles are built to be used across multiple businesses. If they have more than one business and they’re booked into a session for Business X, the system will know this and make them unavailable for bookings for Business Y on the same time slot. If they’re not available for bookings when they think they should be, advise them to check their booked sessions for Business X and Business Y, assign the session to another instructor, update their availability or excepted times for more options to book or add another user account for themselves using a different email address.
