Managing Waitlist Client Notifications

This feature allows you to manage client notifications for waitlist-related updates. You can turn email and/or SMS notifications on or off, helping reduce the number of messages sent while still ensuring clients receive important updates. Other notification types are not affected, and the booking flow remains unchanged.

Accessing Waitlist Notification Settings

Log in to your Fitli business account.

Go to Admin > Business Setup & Customization > Notifications > Notifications to Clients.

On the Notifications to Clients page, locate the Waitlist Notifications (Email and/or SMS) section below Session Reminder Notifications.

By default:

  • Email notifications are enabled.

  • SMS notifications are enabled.

  • Notifications are sent when at least one spot becomes available.

Notifications are sent once when the number of open spots reaches the configured threshold. If the class later becomes full again and the threshold is reached again, another notification will be sent.

To update your settings, check or uncheck the Email and/or SMS options, then click Save.

 


 

Waitlist Notification Examples

The following examples demonstrate how different waitlist notification settings affect waitlisted clients. You can customize these settings by enabling or disabling email and SMS notifications and configuring the number of open spots required before notifications are sent. 

Scenario 1: Email notifications only

Settings

  • Email: Enabled

  • SMS: Disabled

When a spot becomes available in a class with a waitlist, only email notifications are sent to waitlisted clients. SMS notifications are not sent.

Result

  • ✅ Email notification is sent.

  • ❌ SMS notification is not sent.

 


 

Scenario 2: SMS notifications only

Settings

  • Email: Disabled

  • SMS: Enabled

When a spot becomes available, only SMS notifications are sent to waitlisted clients. Email notifications are not sent.

Result

  • ✅ SMS notification is sent.

  • ❌ Email notification is not sent.

 


 

Scenario 3: Both email and SMS notifications enabled

Settings

  • Email: Enabled

  • SMS: Enabled

  • Open spot threshold: 3

Notifications are sent once the configured threshold is reached. In this example, clients receive notifications only when three spots become available.

Result

  • ✅ Email notification is sent.

  • ✅ SMS notification is sent.

If the class later fills again and three spots become available again, another notification is sent.

 


 

Scenario 4: Both notification methods disabled

Settings

  • Email: Disabled

  • SMS: Disabled

When a spot becomes available, no waitlist notifications are sent.

Result

  • ❌ No email notification is sent.

  • ❌ No SMS notification is sent.

 


 

Scenario 5: Class becomes full and reopens again

Waitlist notifications can be sent more than once for the same class.

For example:

  1. A class reaches full capacity and a client joins the waitlist.

  2. A booked client cancels, opening a spot.

  3. Waitlisted clients receive a notification.

  4. Another client books the available spot, making the class full again.

  5. A booked client cancels again, reopening the class.

Result

  • ✅ Waitlisted clients receive another notification when the configured open spot threshold is reached again.

This ensures clients are notified each time the class becomes full and later reopens.

 


 

Summary

  • Waitlist notifications are enabled by default.

  • Email and SMS notifications can be enabled or disabled independently.

  • If both notification methods are disabled, no waitlist notifications are sent.

  • As long as at least one notification method is enabled, you can configure how many open spots are required before notifications are sent.

  • Notifications are sent again if a class becomes full and later reaches the configured open spot threshold again.
